πŸ“§ Managing Email Accounts in WebHostMost

Quick Intro

Once you've created Email accounts on WebHostMost, you'll need to manage them over timeβ€”changing passwords, monitoring usage, accessing Webmail, or deleting old accounts. This guide covers all Email account management tasks available in your WebHostMost Web Control Panel.

If you haven't created an Email account yet, start with the Creating Email Accounts guide first.

Important To Know Before You Begin

important

All Email account management is done through your WebHostMost Web Control Panel under Email Manager > E-mail Accounts. Changes to passwords and settings take effect immediately, so make sure to update your Email clients (Outlook, Thunderbird, mobile devices) after making changes.

  • Immediate Changes: Password changes, quota updates, and deletions happen instantly on WebHostMost servers.
  • Email Client Updates: After changing passwords, you must update credentials in all your Email clients to continue accessing your account.
  • Permanent Deletion: Deleted Email accounts and their messages cannot be recovered. Always backup important Emails before deletion.
  • Webmail Access: You can access your Email through a web browser without any additional configuration.

Accessing WebHostMost Email Manager

All Email account management tasks are performed from the WebHostMost Web Control Panel:

  1. Log into your WebHostMost Web Control Panel
  2. Navigate to Email Manager section
  3. Click on E-mail Accounts

You'll see a list of all Email accounts for the current domain.

Understanding Your Email Accounts List

The WebHostMost Email Accounts page displays all your existing Email accounts with key information:

ColumnWhat It Shows
AccountFull Email address (e.g., [email protected])
UsernameThe part before @ symbol (e.g., contact)
UsageCurrent storage used in MB (e.g., 45 MB / 500 MB)

Available Actions for Each Account

For each Email account in the list, WebHostMost provides several management options:

  • Change Password - Update the Email account password
  • Edit Settings - Modify quota, daily send limit, and other settings
  • Delete Account - Permanently remove the Email account
  • Access Webmail - Log into webmail directly from the panel
  • View Usage Statistics - See detailed Email activity and storage breakdown
Quick Actions

Look for the three-dot menu (β€’β€’β€’) or action buttons next to each Email account to access these management options quickly.

Changing Your WebHostMost Email Password

You can change the password for any Email account at any time through your WebHostMost Web Control Panel. This is useful if you suspect your password has been compromised, or you simply want to update it for security reasons.

Step-by-Step: How to Change Email Password

  1. Navigate to Email Manager > E-mail Accounts in your WebHostMost Web Control Panel
  2. Locate the Email account you want to update in the list
  3. Click the three-dot menu (β€’β€’β€’) on the right side of that Email account row
  4. Select Change Password from the dropdown menu
  5. Enter your new password in the Password field
  6. Alternatively, click the password generator icon to create a strong random password
  7. Click the Change Password button to save

WebHostMost Password Requirements:

  • Minimum: 8 characters (WebHostMost recommends 12+ for better security)
  • Recommended: Mix of uppercase letters, lowercase letters, numbers, and special characters (!@#$%^&*)
  • Avoid: Common words, personal information, or previously breached passwords
Important: Update Your Email Clients

Password changes on WebHostMost take effect immediately. After changing your password, you must update it in all devices and applications where you access this Email:

  • Desktop Email clients (Outlook, Thunderbird, Apple Mail)
  • Mobile devices (iPhone Mail, Android Email apps)
  • Any third-party apps using your Email

If you don't update these, they will fail to connect and may lock your account after too many failed attempts.

Forgot Your Current Password?

You don't need to know the current password to change it in WebHostMost Web Control Panel. As the account owner, you can reset it directly from the Email Manager. However, you'll need the new password to log into Webmail or configure Email clients.

Monitoring Email Usage and Activity

WebHostMost provides detailed Email usage tracking so you can monitor your Email activity, troubleshoot delivery issues, and ensure you're staying within your plan's limits.

Accessing Email Usage Statistics

  1. Go to Email Manager > E-mail Accounts in your WebHostMost Web Control Panel
  2. Click on E-mail Usage or Usage tab/button
  3. Select your Email account from the dropdown (if you have multiple accounts)

Understanding Email Usage Data

Time Period Options (Show Usage From):

  • Today - All Emails sent/received since midnight today
  • This Month (excluding today) - All activity from the 1st of the month until yesterday
  • This Month (including today) - Complete month-to-date activity

Direction Filter:

  • Outgoing - Emails you sent from this WebHostMost account
  • Incoming - Emails you received to this WebHostMost account

Why Monitor Email Usage?
  • Stay within daily send limits - Avoid hitting your WebHostMost plan's daily Email sending quota
  • Detect suspicious activity - Spot unauthorized access or compromised accounts
  • Troubleshoot delivery - Trace why Emails aren't arriving or being sent
  • Manage storage - Identify large Emails consuming your mailbox quota

Tracking PHP Script Email Activity

If you have websites or applications hosted on WebHostMost that send Emails programmatically (e.g., contact forms, order confirmations, password resets), you can track which PHP scripts are sending Emails and how many.

Accessing PHP Mail Usage

  1. Navigate to Email Manager > E-mail Accounts in your WebHostMost Web Control Panel
  2. Go to E-mail Usage section
  3. Click on the PHP Scripts tab

What WebHostMost Shows

InformationDescription
PHP Script NameThe PHP file that sent the Email (e.g., /public_html/contact.php)
mail() Line NumberLine number in code where mail() function was called
Send CountTotal number of Emails sent by this script

Common Use Cases

1. Debugging Email Delivery Issues

If your website's contact form isn't sending Emails, check this log to see:

  • Is the script even attempting to send? (If not listed, the script isn't executing)
  • Is it being blocked? (Check daily send limits)

2. Identifying Compromised Scripts

If someone hacks your website and injects spam-sending code, you'll see:

  • Unusual PHP scripts you don't recognize sending Emails
  • Extremely high send counts from legitimate scripts
  • Scripts in weird directories (like /tmp/ or upload folders)

3. Monitoring Email Volume

For high-traffic websites with many form submissions or notifications:

  • Ensure you're not approaching your WebHostMost plan's daily send limit
  • Identify which features send the most Emails
  • Optimize Email sending if needed
High Email Volume from Scripts?

If you see unexpectedly high Email counts from PHP scripts:

  1. Check for spam scripts - Hackers often inject spam-sending code
  2. Review your code - Look for Email loops or bugs sending duplicate Emails
  3. Verify form submissions - Bots might be spamming your forms
  4. Contact WebHostMost support - If you suspect account compromise

Deleting a WebHostMost Email Account

If you no longer need an Email account, you can permanently delete it from your WebHostMost Web Control Panel. This immediately removes the account and all associated Emails from WebHostMost servers.

Critical: Deletion is Permanent!

Once you delete an Email account on WebHostMost:

  • All Emails are permanently deleted - Inbox, Sent, Trash, all folders
  • Cannot be recovered - WebHostMost cannot restore deleted accounts or Emails
  • Email address becomes available - You can recreate the same Email address later, but all old Emails are gone
  • Immediate effect - The deletion happens instantly, not on a schedule

Important Steps Before Deleting

Before you delete an Email account from WebHostMost, make sure to:

1. Backup Important Emails

If you have any Emails you want to keep:

  • Use WebHostMost's IMAPSync tool to copy Emails to another provider (Gmail, Outlook.com, etc.)
  • Or download Emails to your computer using an Email client like Thunderbird

πŸ‘‰ How to backup: IMAPSync Migrations guide

2. Remove Account from Email Clients

Delete the account from all devices where it's configured:

  • Desktop Email clients (Outlook, Thunderbird, Apple Mail)
  • Mobile devices (iPhone, Android)
  • Any apps using this Email for login

3. Disable Email Features

Turn off any active WebHostMost Email features for this account:

4. Update Service Accounts

If this Email was used to register for online services:

  • Change the Email address on those accounts to a different Email before deleting
  • Update password recovery Emails

How to Delete an Email Account

Once you've completed the preparation steps:

  1. Log into your WebHostMost Web Control Panel
  2. Go to Email Manager > E-mail Accounts
  3. Locate the Email account you want to delete in the list
  4. Click the three-dot menu (β€’β€’β€’) or Delete button for that account
  5. Select Delete or Delete Account
  6. Confirm the deletion when WebHostMost asks for confirmation
  7. The account is immediately and permanently deleted

What Happens After Deletion?

  • Immediately: The Email account stops working on WebHostMost servers
  • Incoming Emails: New Emails sent to this address will bounce back to sender with "address does not exist" error
  • Storage space: The disk space used by this account is freed up in your WebHostMost plan quota
  • Recreation: You can create a new Email account with the same address if needed (but old Emails won't return)
Alternative: Suspend Instead of Delete?

WebHostMost doesn't have a "suspend" feature, but if you're unsure about deleting:

  1. Export all Emails first using IMAPSync to another Email provider as a backup
  2. Change the password to something random so nobody can access it
  3. Set up Email forwarding to redirect new Emails to another address
  4. Keep the account until you're certain you don't need it

This way, Emails still arrive but forward elsewhere, and you can delete it later when ready.
